Onvio Centre
Multi Factor Authentication (MFA) is mandatory for all Onvio Centre users. As well as being a good security practice, this is a requirement so that Onvio is compliant with the ATO's Operational Framework guidelines.

Multi Factor Authentication (MFA) is not mandatory by default for Onvio Client Centre Users. This setting can be changed under the Sign-In Options at Setup > Onvio Site Setup

How do I generate a temporary login code for my colleagues or clients?

Sometimes clients / staff do not have access to their mobile device and are unable to login using Multi Factor Authentication. In this situation, a staff member with Onvio Administrator rights is able to generate a temporary login code for the user. To do this, follow these steps.

Do one of the following

  • For Staff, choose Setup > Staff
  • For Clients, choose Setup > Clients.

Click the Edit icon for the user
Do one of the following

  • For Staff, click the Onvio Access tab and click the View Setting button.
  • For Clients, click the Client Centre Access tab, click the Show Details link, and click the View Settings button.

In the panel that appears, click the generate a temporary, 24 hour code link.
Provide the code to the user.

How do I sign in to Onvio if my mobile device is not available?

If your mobile device is unavailable or not connected to the Internet, contact your administrator for a temporary code. Once you have received your code, follow these steps to login

  1. On the Onvio login screen, enter your login information, then click the Sign In button.
  2. When prompted to check your device, click the Enter a Code link.
  3. Enter the code provided by your administrator and click Go.

How secure is my data?

Being a global company, security is of paramount importance in all that we do.  

  • Onvio is fully compliant with the ATO’s Operational Framework Guidelines.
  • Multi Factor Authentication is now mandatory for all users accessing Onvio.
  • Onvio uses industry standard TLS (Transport Layer Security) for data in transit encryption.
  • All data within Onvio (including backups) is hosted in Australia.
  • Onvio is fully GDPR compliant.

What happens to my data if I stop my subscription to Onvio?

Once your subscription ends, you no longer have access to your data. However, your data is not deleted and if you renew your subscription in the future you will once again have access to your historical data.

Can I migrate client data from other software providers?

Client data cannot be migrated directly from other software providers. However, client details can be migrated from the following software providers into Software Assistant.

  • Catsoft - TaxCat
  • HandiSoft - HandiTax
  • MYOB - AO / AE
  • Reckon - Elite
  • BGL - CAS

Once in Software Assistant, this information can then migrated to Onvio.

Yes.

Does Onvio have Single Touch Payroll (STP) reporting capabilities?

We are not implementing STP reporting (Single Touch Payroll) in Onvio at this stage. 

Do you integrate with third party applications such through APIs?

We do not currently integrate with any third party applications at this time. We are actively looking at working with third party vendors to offer API integration at a later date. 

Can I send a request/approval from Onvio Documents to multiple contacts?

No. Requests and Approvals sent from Onvio Documents can only be sent to one contact. You will need to create a separate Request or Approval for each contact. 

Can I share folders in Onvio Documents with multiple contacts?

Folders in Onvio Documents can be shared with up to 20 contacts.

Click on Manage > Share folder when in Onvio Documents to share a folder (including sub folders if required).

Can I share individual files in Onvio Documents?

No. You will need to share the folder that contains the files you would like to share with your contact. 

What can I transfer from Software Assistant to Onvio?

You can migrate client details and depreciation items from Tax Assistant to Onvio but not partially completed tax returns. 

Depreciation information can be migrated from a 2018 ITR in Tax Assistant to a 2019 ITR in Onvio Tax.

What are the storage limits when using Onvio Documents?

We do not currently impose any storage limits when using Onvio Documents. Information that is stored within Onvio Documents should be for work related purposes and not personal use. 

Are customised documents retained from year to year?

Yes. If you have customised letters (e.g. Cover Letter) the changes will roll forward year to year. 

What level of Dropbox or Box would you need to be able to import into Onvio Documents?

There is no minimum subscription requirement for Dropbox, Google Drive or Box when importing to Onvio Documents. 

Can I download multiple items from Onvio Documents?

Yes. You have the option to download files individually or download multiple files in a ZIP archive.

Yes. Onvio Client Centre is available for your contacts to use regardless of your Onvio subscription.

Can I assign an email address to a client folder in Onvio Documents?

You cannot assign email addresses to client folders, however you can give the client access to the folder through Onvio Client Centre. 

Can I limit access to folders I have shared through Onvio Documents?

Yes. When sharing folders via Onvio Documents you can set the permission level including: Owner, Contributor or Reviewer

Yes. You are able to edit multiple client records and add Engagements, Folders, Projects or change Billing or General information.

Yes. You have the option of customising a global header and footer which applies to all notifications, or edit the notifications individually.

If a padlock is shown next to a folder or file in Onvio Documents, this means you have previously sent the file to a client via Requests or Approvals. You will not be able to delete the file or folder until the original Request or Approval for file(s) has been deleted. 

How do I record client telephone discussions, client background and other specific notes for my clients?

Notes (or comments) can be recorded in a number of different areas using Onvio including Clients, Contacts, Staff, and Project Templates setup screens as well as in Onvio Documents.

There are two phone applications available for both IOS and Android.

Onvio Documents – For the Tax Agent to view client documents in real time

Can I save emails into client folders in Onvio Documents?

We do not currently have an automated tool which will save client emails into Onvio Documents. If you would like to do this you will need to manually save the emails from Outlook then upload (or drag and drop) them into the client folder within Onvio Documents. 

Can I import the pre-filling report from the ATO?

Yes, pre-fill is available in Individual tax forms and when preparing Activity Statements. Use the ATO Pre-fill button at the top left corner of the Individual form. A pre-filling XML report will be generated and saved automatically in the client folder once the pre-fill has competed.

From how far back can I pre-fill an Individual Tax Return?

Pre-fill can be used in the Individual form as far back as 2017. Activity Statements will be pre-filled when created. 

How do I customise the print options when printing a tax return or hide the TFN?

Printing options in Onvio are currently fixed. Support for custom print profiles and user collations (including TFN masking) will be available Q4 2019.  

Can my client electronically sign their tax return using Onvio?

Electronic signatures will be available by the end of October 2019 as part of a free update. 

Does Tax Audit Alert group alerts by industry code or industry category?

Tax Audit alerts will be linked to the high-level occupation code rather than specific occupation codes. E.g. ‘Accountant – Chartered’ will fall under the occupation ‘Accountants’ with Tax Audit Alert.

If I add a client to Onvio does it automatically add the client to my ATO Portal Client List?

No. You will need to ensure you have permission to represent the client via the Tax Agent Portal before using pre-fill or lodging through Onvio.

How do I prepare a prior year tax return earlier than 2017 using Onvio Tax?

Onvio will allow you prepare and lodge specific returns as far back as 2017. If you need to prepare and lodge a return prior to this you will need to use Tax Assistant. 

How do I send my client a copy of their tax return?

You have a number of options:

  1. Share the Tax Return through Onvio Client Centre (select Manage > Share folder from Onvio Documents)
  2. Email the tax return (select Manage > Send email from Onvio Documents)
  3. Save the tax return to your PC and send it to the client using your native email client e.g. Outlook. 

How do I access depreciation schedules in Onvio Tax?

Depreciation in Onvio Tax is manged through Onvio Fixed Assets. Onvio Fixed Assets is available through various worksheets and schedules including D1, D3, D5, Rental etc. 

To access Onvio Fixed Assets, keep an eye out for the following icon  at the top of Onvio once the worksheet/schedule is open.

When will Onvio General Ledger be released?

General Ledger is currently a work in progress and is scheduled for release in 2020. 

Are there any fees when using the Square payment gateway?

Payment intermediaries such as Square or Paypal will charge their own fees for using their services. Onvio currently supports the Square payment gateway. For further information on fees when using Stripe, click here.

Can time sheets be recorded automatically?

You will be able to record time sheets via manual entry or by using the clock timer option. For further information on time sheets, click here 

Can I bill multiple entities under a single invoice i.e. Family billing?

Not yet. Family billing is part of our 12-month road-map, stay tuned for updates.

Can I customise my Invoice template?

You can currently add a company logo to an invoice, adjust individual line items using the ‘Compose’ option, or add A/R information such as your bank account details to the invoice. 

Does Ledger Assistant (desktop) integrate with Onvio Tax?

Unfortunately, Ledger Assistant does not integrate with Onvio Tax.

Can I assign multiple staff to an project?

You can set staff assignments such as Preparer, Tax Agent and Reviewer however, the project will only be visible to the people assigned in the project properties.

Can I a see practice dashboard with all staff jobs for the day or week and shuffle jobs as required?

Yes, this is possible using Onvio Projects which is included with Onvio Practice.

Can clients be grouped i.e mum & dad, company, trust, etc.

These types of relationships can be defined in Onvio, however grouping entities to then filter, or produce invoices for families is not yet available.

Can I create unlimited project templates?

You can have unlimited templates and they will be used as the foundation for job tracking, staff assignments and automation.

Is Onvio user based pricing?

Pricing for Onvio is per user. Please refer to the order page for more information. 

How to write-off asset in Fixed Assets

To write-off the asset, the 'Date first used' needs to be within the same financial year of the tax return the asset is being written-off.

For example, if the asset is to be written-off in the 2019 tax return then 'Date first used' will be 01/07/2018.

Client's address not loading to the tax return?

For the tax return to load the client's address, you must select the client's address type as Postal under Client's address details.

If you have already created the tax return then the tax return will not be able to refresh to pick up the client's postal address, unfortunately. You can either delete the tax return so it can re-populate the client's details or manually key in the address.

CMN.ATO.IITR.000214

To resolve the CMN.ATO.IITR.000214 validation error, enter $0 at item 15 'net income or loss from investing’ and ‘net income or loss from rental’ if they are blank.

Deleting projects

If you are unable to delete a project, there may be existing files attached to the project that must be deleted first. Please delete invoices, documents saved for this project then, delete the project in Onvio Tax.

To populate the capital works deductions field through Fixed Assets, you will need to use either 2.5% or 4.0% deduction method as per ATO's instructions.

Yes. If you have customised letters (e.g. Cover Letter) the changes will roll forward year to year. 

What level of Dropbox or Box would you need to be able to import into Onvio Documents?

There is no minimum subscription requirement for Dropbox, Google Drive or Box when importing to Onvio Documents. 

Can I download multiple items from Onvio Documents?

Yes. You have the option to download files individually or download multiple files in a ZIP archive.

Can I assign an email address to a client folder in Onvio Documents?

You cannot assign email addresses to client folders, however you can give the client access to the folder through Onvio Client Centre. 

Can I limit access to folders I have shared through Onvio Documents?

Yes. When sharing folders via Onvio Documents you can set the permission level including: Owner, Contributor or Reviewer

Can I add a folder in Onvio Documents for multiple clients in one action?

Yes. You are able to edit multiple client records and add Engagements, Folders, Projects or change Billing or General information.

  1. To add folders for multiple clients, select Setup > Clients
  2. Select the clients you would like to add folders to then click on Edit

Why do I have a padlock visible next to a folder or file in Onvio Documents?

If a padlock is shown next to a folder or file in Onvio Documents, this means you have previously sent the file to a client via Requests or Approvals. You will not be able to delete the file or folder until the original Request or Approval for file(s) has been deleted. 

Can I import the pre-filling report from the ATO?

Yes, pre-fill is available in Individual tax forms and when preparing Activity Statements. Use the ATO Pre-fill button at the top left corner of the Individual form. A pre-filling XML report will be generated and saved automatically in the client folder once the pre-fill has competed.

From how far back can I pre-fill an Individual Tax Return?

Pre-fill can be used in the Individual form as far back as 2017. Activity Statements will be pre-filled when created. 

Cannot prefill and receiving SBR.GEN.AUTH.005 validation error

This is a permission issue. You will need to enable full permission to Onvio Setup for the user under Onvio Centre > Setup > Permission Groups to resolve the issue.

How do I customise the print options when printing a tax return or hide the TFN?

Printing options in Onvio are currently fixed. Support for custom print profiles and user collations (including TFN masking) will be available Q4 2019.  

How do I prepare a prior year tax return earlier than 2017 using Onvio Tax?

Onvio will allow you prepare and lodge specific returns as far back as 2017. If you need to prepare and lodge a return prior to this you will need to use Tax Assistant. 

Can I assign multiple staff to an project?

You can set staff assignments such as Preparer, Tax Agent and Reviewer however, the project will only be visible to the people assigned in the project properties.

Can I a see practice dashboard with all staff jobs for the day or week and shuffle jobs as required?

Yes, this is possible using Onvio Projects which is included with Onvio Practice.

Can clients be grouped i.e mum & dad, company, trust, etc.

These types of relationships can be defined in Onvio, however grouping entities to then filter, or produce invoices for families is not yet available.

Can I create unlimited project templates?

You can have unlimited templates and they will be used as the foundation for job tracking, staff assignments and automation.

Gross rental income not being calculated

Manually enter the percentage in the Gross Rental Income worksheet.

 

Rental Property Schedule – Unable to edit the Address line 1

The workaround is to enter the taxpayer's details from the Ownership Statement with 100% ownership and you will be able to edit the details for Address line 1. Then change the ownership % back to the appropriate percent.

 

Can I send a request/approval from Onvio Documents to multiple contacts?

No. Requests and Approvals sent from Onvio Documents can only be sent to one contact. You will need to create a separate Request or Approval for each contact.

What are the security requirements for Onvio?

Onvio Centre
Multi Factor Authentication (MFA) is mandatory for all Onvio Centre users. As well as being a good security practice, this is a requirement so that Onvio is compliant with the ATO's Operational Framework guidelines.

Onvio Client Centre
Multi Factor Authentication (MFA) is not mandatory by default for Onvio Client Centre Users. This setting can be changed under the Sign-In Options at Setup > Onvio Site Setup

How secure is my data?

Being a global company, security is of paramount importance in all that we do.  

  • Onvio is fully compliant with the ATO’s Operational Framework Guidelines.
  • Multi Factor Authentication is now mandatory for all users accessing Onvio.
  • Onvio uses industry standard TLS (Transport Layer Security) for data in transit encryption.
  • All data within Onvio (including backups) is hosted in Australia.
  • Onvio is fully GDPR compliant.

Does Onvio have Single Touch Payroll (STP) reporting capabilities?

We are not implementing STP reporting (Single Touch Payroll) in Onvio at this stage. 

What happens to my data if I stop my subscription to Onvio?

Once your subscription ends, you no longer have access to your data. However, your data is not deleted and if you renew your subscription in the future you will once again have access to your historical data.

Is Onvio user based pricing?

Pricing for Onvio is per user. Please refer to the order page for more information. 

Does Tax Audit Alert group alerts by industry code or industry category?

Tax Audit alerts will be linked to the high-level occupation code rather than specific occupation codes. E.g. ‘Accountant – Chartered’ will fall under the occupation ‘Accountants’ with Tax Audit Alert.

Client's address not loading to the tax return?

For the tax return to load the client's address, you must select the client's address type as Postal under Client's address details.

If you have already created the tax return then the tax return will not be able to refresh to pick up the client's postal address, unfortunately. You can either delete the tax return so it can re-populate the client's details or manually key in the address.

Deleting projects

If you are unable to delete a project, there may be existing files attached to the project that must be deleted first. Please delete invoices, documents saved for this project then, delete the project in Onvio Tax.

How to delete the row in a worksheet

To delete a row in the worksheet,

  1. Open the worksheet
  2. Click on the number for the row you want to delete (number in the first column)
  3. Press the delete button on your keyboard

Are there any fees when using the Square payment gateway?

Can time sheets be recorded automatically?

You will be able to record time sheets via manual entry or by using the clock timer option. For further information on time sheets, click here 

Can I bill multiple entities under a single invoice i.e. Family billing?

Not yet. Family billing is part of our 12-month road-map, stay tuned for updates.

Can I customise my Invoice template?

You can currently add a company logo to an invoice, adjust individual line items using the ‘Compose’ option, or add A/R information such as your bank account details to the invoice.

To resolve the CMN.ATO.IITR.000214 validation error, enter $0 at item 15 'net income or loss from investing’ and ‘net income or loss from rental’ if they are blank.

Generally, the EXCEPTIONFROMLODGEMENTSERVICE error will appear if there is a code missing in any of the worksheets.

Common places to check:

  • Item D10, if there is an amount claimed at item D10.
  • Item 24, if the worksheet has a type column

  • Item 18 Capital Gain, label G - Did you have a CGT event during the year?
  • Item 19 Foreign Entities, label I - Did you have either a direct or indirect interest in a controlled foreign company (CFC)?
  • Item 19 Foreign Entities, label W - Have you ever, either directly or indirectly, caused the transfer of property (incl. money) or services to a non-resident trust estate?
  • Item 20  Foreign source income and foreign assets or property, label P - Assets located outside Australia which had a total value of AUD$50,000 or more?
